Configure Outlook Desktop¶
The Outlook desktop app provides a richer email experience than the browser and works even when you have limited connectivity. Follow these steps to add your Questcom mailbox.
What you need¶
- Microsoft 365 Apps (Outlook) installed on your Windows laptop
- Your company email (
your.name@questcominc.com) and password - Microsoft Authenticator set up on your phone
Don't have Outlook installed?
Open Chrome and go to https://portal.office.com. Sign in, click Install apps in the top right, and choose Microsoft 365 Apps. Run the installer, then return to this guide.
Step 1 — Launch Outlook¶
- Press the Win key and type Outlook.
- Click Outlook in the search results.
If this is the first time Outlook has been opened, it will jump straight to the account setup screen — skip to Step 3.
Step 2 — Open account settings¶
If Outlook opens to your inbox (or a blank screen):
- Click File in the top-left menu.
- Click Add Account.
Step 3 — Enter your email address¶
- Type
your.name@questcominc.comin the email field. - Click Connect.
Outlook will detect your Microsoft 365 account automatically.
Step 4 — Sign in¶
- A Microsoft sign-in window will appear — your email address should already be filled in.
- Enter your password and click Sign in.
- Check your phone for a notification from Microsoft Authenticator and tap Approve.
Step 5 — Finish setup¶
- Outlook will show Account successfully added.
- Leave Set up Outlook Mobile on my phone too unchecked unless you want the mobile app as well.
- Click Done.
Step 6 — Wait for your mailbox to sync¶
Outlook will begin downloading your emails. The first sync can take a few minutes depending on mailbox size. You will see a progress bar at the bottom of the screen.
New mail not appearing?
Click the Send / Receive tab and press Send/Receive All Folders, or press F9.
Cleaning up the old Kerio Connect account¶
If you were using Outlook before this migration, you will have an existing questcominc.com account connected to the old Kerio Connect mail server. Once your M365 mailbox is confirmed working, you should remove or rename that account to avoid sending or saving mail to the wrong place.
Both accounts share the same email address, so you identify them by account type: the Kerio account is IMAP, the new M365 account is Microsoft Exchange.
Do this after confirming M365 works
Make sure you can send and receive email through the new M365 account before removing the old one. If you are unsure, contact IT first.
Step 1 — Open Account Settings¶
- Click File in the top-left menu.
- Click Account Settings, then click Account Settings again in the dropdown.
A window will list all configured accounts. You will see two entries for your.name@questcominc.com — one labelled Microsoft Exchange (the new one) and one labelled IMAP (the old Kerio account).
Step 2 — Remove or rename the Kerio account¶
- Click the IMAP account to select it.
- Click Remove (the X button above the list).
- Click Yes to confirm.
The old account and its cached mail will be removed from Outlook. Your emails are still accessible on the Kerio server via webmail until IT decommissions it.
If you want to keep the old mail visible but clearly marked:
- Click the IMAP account to select it.
- Click Change.
- Scroll to Your Name and change it to something like
Questcom (OLD - Kerio). - Click Next, then Finish.
The account will remain in Outlook but is clearly labelled so you don't accidentally use it.
Step 3 — Set the M365 account as default¶
- In the Account Settings window, click the Microsoft Exchange account.
- Click Set as Default (the checkbox icon above the list).
- Click Close.
Setting Outlook as your default mail app (recommended)¶
- Press Win+I to open Settings.
- Go to Apps > Default apps.
- Search for Outlook and click it.
- Set it as the default for Email.
This ensures that clicking a mailto: link in Chrome opens Outlook automatically.
